Add an owner and their rooms

Create the owner, set their management fee and per-booking fee, attach the rooms they own from a chosen date, and send them their secure page link.

Owners live under Operations → Owners. Setting one up is three small jobs: create the owner, attach the rooms they own, and give them their own page. Ten minutes, once.

Create the owner

  1. Open Operations → Owners and add a new owner.
  2. Enter their name and contact details. The email and phone matter beyond correspondence — they're where the owner's secure page link and sign-in codes are sent.
  3. Set their commercial terms: your management fee as a percentage of the revenue their rooms earn, and — if you charge one — a flat per-booking fee. Both can be left off and added later; they feed straight into the statement maths.

Attach their rooms

Assign the rooms or units the owner owns, each with the date the ownership takes effect. From that date, the room's earnings and any billed work flow to that owner. If one room is on different terms, it can carry its own management fee percentage that overrides the owner's usual rate.

When a room changes hands, don't delete anything — assign the room to the new owner from the changeover date. The old owner's history stays intact, and each owner's statements cover exactly the period they owned the room.

Portal access

From the owner's entry you can send them their secure page link — it goes by text when they have a mobile number, otherwise by email — or copy it to pass on yourself. The first time they open it, a one-time code to their phone or email proves it's really them. What they see there, and how to switch access off again, is covered in the owner's own page.

When an owner leaves

Deactivate the owner rather than deleting them: their page stops working, their history and issued statements are kept, and you assign their rooms to the new owner — or back to yourself — from the changeover date. Keeping the record intact is exactly what you'll want the first time a question about an old statement comes up.
