A secure link where each owner sees their rooms, issued statements, explained charges and guest feedback — and approves work — without ringing you.
Every owner gets their own secure page — a link, not a login to remember — where they can check their rooms' activity, read issued statements, see exactly why they were charged, and approve work. The monthly "can you resend that statement?" call disappears.
How they get in
You send the link from the owner's entry under Operations → Owners — it goes by text when they have a mobile number, otherwise by email — or copy it and pass it on yourself. The first time they open it, a one-time code sent to their phone or email proves it's really them; after that, the page remembers them on that device for about a month at a time. A forwarded link shows nothing at all until that code step is passed, so the link travelling around isn't a leak. The link itself lasts a year, and you can revoke access at any moment — revoking cuts off every link and every signed-in device instantly, and a fresh link can be sent whenever you like.
What they can see
- Their rooms — the rooms or units they own, at a glance.
- Issued statements — every statement you've issued, newest first, exactly as issued.
- Charges, explained — the detail behind each charge: the job, the room, the date, and photos of the work. See charges that flow to owners.
- Guest feedback — what guests said about stays in their rooms, with the guests' names hidden.
- Approvals — work you've asked them to authorise, waiting for a decision.
What they can't see
- Your costs and margins on any job — the owner sees the charge side only.
- Anything belonging to another owner, or to rooms they don't own.
- Guests' personal details.
- Draft numbers — only issued statements appear, never a moving work-in-progress.
Authorising work
When a job on an owner's room needs their sign-off — a repair with a real cost attached — you can request authorisation from the task itself, with a description and an estimate of the charge. The owner gets the request on their page and approves or declines; the first decision stands, and it's recorded on the task with who decided and when. Nothing proceeds automatically — your team goes ahead once you've seen the approval, which keeps the judgement calls exactly where they belong.
Troubleshooting
The owner says the code never arrived
Check the phone and email on their owner entry under Operations → Owners — codes go to what's recorded there. An owner whose phone number isn't a usable mobile automatically gets their code by email instead.
