Custom roles
When the built-in roles don't quite fit, clone the closest one and adjust exactly what it can see and do — then assign it like any other role.
The built-in roles cover the common jobs, but every property has its odd one out: the front desk person who also handles refunds, the caretaker who should see tasks and nothing else. For those, make a custom role — a clone of the closest built-in, adjusted to exactly what the job needs.
Creating a custom role
- Open Settings → Users and go to the Roles tab.
- Pick the built-in role closest to what you want and clone it.
- Give the clone its own name — role names must be unique, so "Front Desk + Refunds" beats "Front Desk 2".
- Tick and untick what it can see and do. Permissions are grouped by area — Bookings, Money, Rates and revenue, Guests, Reporting, Work and tasks, Configuration, Administration — each described in plain English.
- Save, then assign it to people exactly like a built-in role.
The permissions carry the same deliberate splits the built-in roles do: recording a payment is separate from refunding one, viewing a report is separate from exporting it, and guest contact details are separate from guest names. That's what makes a narrow role possible — you can grant precisely the half of a job someone does.
When a custom role beats stretching a built-in one
Reach for a clone whenever you catch yourself giving someone a bigger role than their job, just to unlock one thing. A duty manager who needs refunds doesn't need all of Finance — clone Front Desk / Reservations and add refunds. A maintenance contractor who should see the day's jobs doesn't need Housekeeping Supervisor's full task powers — clone Read-only and add what's missing. The rule of thumb: the role should match the job, not the other way round.
The built-ins themselves can't be edited or deleted — they're the standard reference set, and Accommador keeps them that way. Your clones are entirely yours: rename them, re-pick their permissions, delete them when they're no longer used.
Assigning and housekeeping
Assign a custom role from the person's entry on the People tab, the same as any built-in. A few rules keep things tidy:
- A role that's still assigned can't be deleted. Accommador tells you how many people hold it — move them to another role first, so nobody is silently left with no access.
- Changes apply to everyone holding the role. Adjust a clone and every person assigned to it gets the new shape — handy when a whole team's job changes at once.
- Administrators on your account are a special case. They keep user management at every sign-in, so a custom role without it won't hold for them — Accommador refuses the assignment and says why.
Troubleshooting
The name I want is taken
Role names are unique across your account, built-ins included. Pick a variation, or rename the old role if it's one of your clones.
I want to edit a built-in role
Clone it instead — that's the intended path. The clone starts as an exact copy, so you're only ever changing the bits you meant to change.
