The built-in roles

Seven ready-made roles cover the common jobs — from Property Admin to Read-only. What each one is for, and how to adjust one when it doesn't quite fit.

Accommador ships with seven ready-made roles, one for each of the jobs most properties actually have. Assign the closest fit from Settings → Users and most teams never need anything more; when one doesn't quite fit, you clone it and adjust rather than bending the original.

The seven roles

  • Property Admin — the everything role. The only role that can manage users and handle payment-gateway credentials. Your own role, and usually nobody else's.
  • General Manager — everything except managing users and gateway credentials. Runs the whole operation day to day without holding the keys to access itself.
  • Front Desk / Reservations — takes, changes and cancels bookings, records payments, sees guest contact details, and works with tasks. The selling-the-room role.
  • Housekeeping Supervisor — sees bookings, arrivals, departures and occupancy, and runs the task side fully. No guest contact details, no rates, no money, and no changing reservations.
  • Revenue Manager — sees bookings, sets rates, applies rate suggestions, and views and exports reports. Prices the house; doesn't touch guests or payments.
  • Finance — sees bookings, handles the full payments side including refunds, sees guest contact details, views and exports reports, and works with owner statements.
  • Read-only — looks, doesn't touch: bookings, reports and tasks are visible, nothing is changeable. Good for an owner-operator's accountant or a new starter's first week.

The lines the roles draw

The roles are built on a few deliberate splits. Recording a payment is not the same as refunding one. Viewing a report is not the same as exporting the data out of it. Guest contact details are restricted separately from guest names — everyone who can see the work sees whose room it is, but phone numbers and emails stay with the roles that need them. And configuring the property — rooms, rates setup, the catalogue — is separate from operating it day to day.

Housekeeping is the strictest by design: cleaning staff see the arrivals, departures and rooms that are their work, and nothing about money, rates or guest contact details. That's standard practice across the industry — keep it.

Adjusting a role

Built-in roles can't be edited directly — Accommador keeps them standard, so an edit would not hold. To adjust one, clone it: the copy is yours to rename and change freely, and the original stays intact as a reference. See custom roles.

Nobody can lock the account out

There's always at least one person who can manage users. You can't deactivate yourself, and you can't remove your own user-management access — Accommador refuses both. Administrators on your account keep user management at every sign-in regardless of the role they hold; to narrow one, change their account role first.

Troubleshooting

Which role for a duty manager who also takes payments?

Front Desk / Reservations covers taking bookings and recording payments. If they also need refunds, that's the Finance side — clone Front Desk and add it, rather than handing over all of Finance. See custom roles.

Can two people hold the same role?

Yes — a role is a template, not a seat. Assign it to as many people as it fits.
