When someone leaves, you deactivate them rather than delete them. Their access ends on the spot, everything they did stays on the record, and if they come back for next season, restoring them is one switch — not a rebuild.
Deactivating someone
- Open Settings → Users and find the person.
- Open their entry and switch their access off.
- Save. From that moment they can't do anything in Accommador.
Deactivation is absolute: it overrides whatever role the person holds, and signing in does not switch a deactivated person back on. Only you — or another user manager — can.
What stays
Everything. The bookings they took, the payments they recorded, the notes they left and the history entries carrying their name all remain exactly as they were — a deactivated person's past work still makes sense when you read it back months later. They also stay visible on the roster, so you can always see who used to have access, not just who currently does.
Bringing someone back
Open their entry and switch access back on. Their role and any property limit are still there from before, so a returning seasonal worker is productive again in seconds — though it's worth a glance to confirm last year's role is still the right one.
Why deactivating beats deleting
- The record survives. Deleting a person would orphan their history; deactivating keeps every action attributed.
- It's just as secure. A deactivated person can do precisely nothing — deletion removes no more access than the switch does.
- It's reversible. People come back. One switch beats setting up role and property limits from scratch.
Troubleshooting
Why can't I deactivate myself?
Accommador refuses it so an account can never lock itself out — for the same reason you can't remove your own ability to manage users. If you're genuinely handing over, give someone else the Property Admin role first, and have them deactivate you.
Should I clear their role too?
No need — deactivation already denies everything. Leaving the role in place is what makes reactivation effortless.
Someone left and rejoined with a new job
Reactivate them, then assign the role that matches the new job — see giving your team access and custom roles.
