Map your accounts and tax rates
What each mapping controls — accommodation, extras, cancellation charges, commission and deposits — and how to review or change the coding later.
Every dollar Accommador sends to Xero is coded by a mapping: the kind of money decides which account it lands in and how GST is treated. Accounting → Xero → Mappings shows every mapping in one place, so you can always answer "where does this get coded?" without opening Xero.
The money types
- Accommodation — room revenue. One default account, with optional per-room-type accounts when you report some room types separately.
- Extras — everything you sell alongside the stay. A default account, and any extra can carry its own account and tax type — including items imported from Xero, which arrive with their coding attached. See extras in Xero.
- Cancellation charges — money retained when a booking is cancelled or a guest doesn't show. See cancellation charges.
- Commission — the deduction on bookings that arrive through booking sites.
- Deposits — money you hold before the stay. This account is a holding account, not revenue: deposits only become income when the stay is delivered.
- Vouchers — optional. Voucher money is a liability like a deposit, so by default it sits in the deposit account; give vouchers their own account only if you want them reported separately. See vouchers.
Tax rates
Each money type carries the GST treatment you chose in the setup wizard, using your Xero organisation's own tax rates. An individual extra can also carry its own tax type — useful when one product is GST-free in a catalogue that mostly isn't. A mapping without a tax type of its own simply uses the default for its money type.
Reading the mappings screen
The Mappings page is a review surface — one tab per kind of mapping, showing the names of accounts and tax rates rather than bare codes. Extras that have no mapping of their own are listed as using the default, so the page answers the real question: what will the next invoice actually be coded to?
Changing a mapping
Edits are made where each mapping is owned. The account or tax rate for a money type is changed by rerunning that step of the setup wizard; an individual extra's coding is changed on the extra itself in the extras catalogue. A changed mapping applies to documents raised from then on — invoices already in Xero are never rewritten, so your history stays exactly as your accountant saw it.
