Fix a Xero connection problem

What the reconnect prompt means, why it appears, and the two-minute fix. Nothing is lost — queued payments flow through once you reconnect.

Now and then Accommador loses its authority to act in your Xero organisation and shows a reconnect prompt. It looks alarming; it isn't. Nothing is lost, the fix takes two minutes, and syncing catches up on its own afterwards.

What the prompt means

"Reconnect required" means Accommador can no longer write to your Xero organisation on your behalf. Minor hiccups heal themselves quietly in the background — you only see this prompt when the connection genuinely needs you to sign in again.

Why it happens

  • Access was removed on the Xero side. Connected apps can be disconnected from within Xero's own settings — sometimes deliberately, sometimes as part of a tidy-up by whoever manages your Xero account.
  • The organisation changed. The organisation you connected was removed or replaced, or your Xero user lost access to it.
  • A very long lapse. Accommador renews its access in the background precisely so this doesn't happen, but a lapse on either side can still end here. It's rare.

The fix

  1. Go to Accounting → Xero → Settings. The reconnect prompt sits on the connection panel.
  2. Disconnect, then connect again: sign in to Xero, pick your organisation, and allow access — the same short flow as connecting the first time. Some screens offer the reconnect in place as a single step.
  3. Run the connection test on the settings page to confirm all is well.

Nothing is lost

Your bookings, payments and history live in Accommador, not in the connection. Anything that couldn't sync while the connection was down simply waits: once you reconnect, queued payments flow through within minutes, and anything that tipped into a failed state can be re-sent from the reconciliation screen or the Accounting → Payments screen.

Troubleshooting

How do I stop it happening again?

Mostly you can't cause it from Accommador's side — the triggers live in Xero. If someone else manages your Xero organisation's connected apps, let them know Accommador should stay connected; beyond that, the background renewal keeps the connection alive without any routine from you.

It says connected, but payments aren't syncing

Run the connection test on the settings page — it checks the connection actually works, not just that one exists. If the test fails, follow the reconnect steps above; if it passes, the blocker is on the payment itself — see how payments land in Xero.
