Import your Xero items as extras

If you already sell things through Xero — cleaning fees, firewood, kayak hire — you don't have to rebuild them by hand. Accommador can pull your Xero sales items in as sellable extras, and they arrive already coded.

Import in three steps

1. Refresh the item list. Accommador fetches your current sales items from Xero, so the picker shows exactly what your organisation holds today.
2. Search and select. Find the items you want to sell as extras and select them.
3. Import. Each selected item becomes an extra in your extras catalogue with its name, description and sale price carried across, ready to add to bookings.

Items keep their Xero coding

An imported extra stays linked to the item it came from. Its sales account and tax treatment come across with it, and when the extra appears on an invoice, the line carries the Xero item code — so any item-level reporting you do in Xero keeps working exactly as before. An item that doesn't specify its own sales account simply uses your default extras account.

Prices stay yours to manage. You can pull an item's latest details from Xero onto its extra whenever you like, but if you've changed the price in Accommador since importing, your price is kept and the difference is pointed out for you to look at — an update never silently overwrites your pricing.

The review queue

Sooner or later an item gets deleted or retired in Xero while its imported extra is still on your menu. Accommador never deletes the extra to match. Instead the extra is flagged for review: a queue shows the extra's name, the item code it pointed at, how many bookings have used it, and when the link went missing. You decide what happens — usually archiving the extra so it stops being sold. Until you do, invoicing keeps working: the line simply carries the account coding without the dead item code, so no invoice ever fails over a retired item.

Troubleshooting

The refresh didn't change anything

The refresh replaces Accommador's copy of the item list with what Xero returns. If Xero returns something that looks wrong — a suspiciously empty or heavily shrunken list — Accommador keeps its current copy rather than flagging half your catalogue for review, and tells you the refresh was abandoned. Try again, and check the connection on Accounting → Xero → Settings if it persists.

An item imported with a slightly different name

Extras need unique names. If an incoming item's name collides with an extra you already have, the import keeps both by adjusting the incoming name rather than overwriting your existing extra.
