Refund a payment

Money goes back the way it came: card refunds return via the same gateway, manual payments are recorded as refunded. Partial refunds included.

Refunds in Accommador follow one rule: money goes back the way it came. A card payment refunds to the same card through the same gateway that took it; a cash or bank-transfer payment is recorded as refunded and you hand the money back the way it was paid. Either way, the booking's balance and your Xero records stay right without extra bookkeeping.

Refund a card payment

  1. Open the booking's Payments tab and click Refund on the payment.
  2. The dialog confirms it will refund through Stripe or PayDollar — whichever took the money.
  3. Enter the amount. Partial refunds are fine, and you can refund again later, up to the original amount in total.
  4. Submit. The gateway sends the money back to the card that paid.

Allow a few business days for the refund to show on the guest's statement — that timing belongs to the card networks and banks, not to you.

Refund a manual payment

For money you took outside Accommador — cash, card machine, bank transfer — the refund dialog asks how you're giving it back (cash, card, bank transfer, cheque or other), the date, and an optional reference. Accommador records the refund, corrects the balance and updates Xero. Handing over the actual money is yours to do.

PayDollar and same-day money

A PayDollar payment takes until the day's settlement run to actually reach your bank. If you refund before that — typically the same day — the money can't come "back", because it never arrived: the payment is cancelled before it moves instead. Accommador checks the payment's state when you open the refund dialog and does the right thing automatically; the guest's outcome is identical — the money returns to their card. If the state can't be confirmed at that moment, Accommador asks you to try again shortly rather than guess.

One more PayDollar particular: refunds are accepted for 14 days after the money was taken. Beyond that the refund is declined and you'll see the reason on screen.

Troubleshooting

Can I refund a payment that was made with a voucher?

No — a voucher redemption isn't refundable as money, because the value belongs on the voucher, not in the guest's bank account.

The payment was a mistake, not a real refund

If the money never actually changed hands, don't refund — void the record instead.

Keeping the money on a cancellation?

If the booking is cancelling and you're entitled to keep some of it, see keep a cancellation charge — refund the part you're returning, and the charge follows automatically.
