Void a prepayment recorded by mistake
Void a manual payment recorded by mistake: the record stays, the balance corrects, and Xero is squared away. Card payments refund instead.
Recorded a payment that never really happened — the wrong amount, the wrong booking, a duplicate entry? Void it. The record stays visible but stops counting, the balance owing corrects itself, and nothing is deleted. Voiding fixes records; it never moves money.
Void or refund?
- Void — the record was wrong. No money moves; the books are corrected.
- Refund — the money was real and you're giving it back. See refund a payment.
Card payments taken through Stripe or PayDollar can't be voided, because the money genuinely moved — they're refunded instead, and a bond hold that was never captured is simply released. Accommador only offers Void on payments you recorded by hand, so the wrong option is never on the table.
How to void
- Open the booking's Payments tab.
- Click Void on the manually recorded payment and confirm.
The row greys out with a "Voided" badge and a struck-through amount, the balance owing rises by that amount, and the row stays put as a permanent record of what was entered and undone.
What voiding does in Xero
If the payment hadn't yet flowed to Xero, there's nothing more to do — now it never will.
If it had already reached Xero, Accommador can't remove it there for you — Xero doesn't allow a deposit record to be voided from outside. Instead you'll see a message asking you to void it in Xero as well, and the payment's View in Xero link turns red as a reminder. Follow the link, void it in Xero, and within a few minutes Accommador notices and the red clears by itself. Until both sides are voided, the red link keeps the loose end visible rather than letting it hide.
Troubleshooting
I found the mistake after checkout — can I still void it?
Yes. A mistaken record stays voidable after checkout; the balance recalculates just the same.
Why can't I void this payment?
If the row is a card payment, it refunds rather than voids — the money really moved. And a payment that's already voided can't be voided twice.
