The staff portal on a phone

What your team sees on their phone: their worklist, claiming and ticking off jobs, photos and counts, raising a job they found — and none of your money.

The staff portal is a simple page on your staff member's phone, opened from their own secure link — no app to install, no password to remember. It shows their jobs and the buttons to claim work, do it and tick it off. Here's what it looks like from their side. (Setting up access is covered in add your staff.)

Their worklist

My work shows the jobs assigned to them, plus unassigned jobs that match their work scope — today's and anything overdue, with overdue flagged in red. A strip shows what they've already finished today, and a by-room view groups the same list by room with "2 of 3 done" progress per room — handy mid-morning on changeover day.

Tapping claim on an unassigned job takes it: exactly one person can claim a job, so two cleaners never start the same room. If someone was quicker, it simply shows as already taken.

Doing a job

Opening a job gives them everything on one screen:

  • Start and complete — starting a clean shows the room as being cleaned on your calendar; completing it flips the room to ready. See room readiness.
  • Checklist and notes — work through the job's checklist when it has one, and leave notes for you.
  • Photos — the meter reading, the damage, the finished room, straight from the camera.
  • Minutes worked — they log time as minutes; the cost is worked out on your side from their rate.
  • Parts they bought — the one place they enter a price, because they paid it.
  • Counts, where you've asked for them — "how many bottles were used?" They record the number; the money side happens on yours. See bill work to guests or owners.

Raising a job they found

The cleaner who finds the dripping tap doesn't have to remember to tell anyone. They can raise a job on the spot, from the templates you've allowed them, and it opens already assigned to them. They can also reuse a past job as a template, so a repeat of March's repair starts half filled in — at today's prices, not March's.

The day's arrivals and departures

A property can also switch on a Schedule view: the day's (or week's) arrivals and departures by room, each arrival with a ready-by time worked back from the guest's appointment or expected arrival time. Rooms turning around — out and in on the same day — are marked, so the pressure points are obvious at 8am.

What they don't see

Your money. Job costs, charges and billing never appear in the portal — a staff member records quantities and minutes, never dollars. The exceptions are deliberate: a part they bought shows the price they entered, and a person you've marked as pricing-visible — typically maintenance staff who quote — can see and set sell prices. Guest contact details and your booking revenue aren't in the portal either. It's a worklist, not a back office.
