The task catalogue: define the work once
Describe a job once — what triggers it, which rooms it covers, what it does to the room, who pays — and Accommador generates it from then on. Plus the three cleans you start with.
A task definition describes a job once: what it's called, what triggers it, which rooms it applies to, what it does to the room, and who pays for it. Every job Accommador generates is an instance of one. Describe the work once, and stop re-describing it every day.
What a definition covers
- Name and category — housekeeping, maintenance or inspection.
- What it attaches to — a stay, a physical room, or the property as a whole.
- When it triggers — see below.
- What it does to the room — a clean can mark the room ready when it's completed and record when it was last cleaned; a repair job can take the room off sale while it runs. See room readiness.
- Who pays by default — the guest, the owner, nobody — or "decide when it's done".
- Which room types it applies to — leave it open to all, or restrict it.
The triggers, in plain words
- On departure — a job for every checkout, on the departure day. The standard turnover clean.
- Every so many days during a stay — a service partway through longer stays: daily, every third day, whatever you set. It never fires on the arrival or departure day itself.
- Before arrival, if the room has gone stale — a freshen-up when the room won't have been cleaned within your set number of days by the time the guest arrives. A room cleaned yesterday is left alone.
- On an interval since last done — repeating upkeep that isn't tied to a booking: a safety check every six months, a deep clean every quarter. The next one is counted from the last completion, so doing the work early by hand resets the cycle rather than doubling it up. A lead time raises the job ahead of its due date.
- Manual — never generated. A template you or your team raise by hand when the work turns up.
The three you start with
- Turnover Clean — on departure. Active from day one.
- Prep Clean — before arrival, when the room hasn't been cleaned in the last three days. Active from day one.
- Recurring Clean — a daily in-stay service. Set up but switched off — turn it on if you offer serviced stays.
They're ordinary definitions, not fixed behaviour: rename them, change the timing, restrict them, or switch them off.
Editing and adding definitions
The catalogue lives at Operations → Task Definitions. Anyone on your team can read it; adding and editing needs an administrator, because a definition can carry default charge lines — changing the catalogue is changing what jobs bill. See bill work to guests or owners for how those lines work.
Switching a definition off stops it generating, and any of its jobs still waiting are cancelled overnight. Jobs already started or finished keep their record. Changes flow through the next overnight run — see how tasks appear and stay current.
