Edit your check-in flow
The flow editor: ordered steps across three phases, the step types available, required steps, and gates that hold a step closed until your conditions are met.
Your check-in flow is an ordered list of steps guests work through. The flow editor on Guests → Guest Journey lets you shape that list: what you ask, in what order, what's compulsory, and when each step becomes available.
Three phases
Steps are grouped into three phases — before arrival, during the stay and check-out — and guests see the same grouping, with progress shown per phase. Only the before-arrival steps decide when a guest's check-in counts as complete; during-stay and check-out steps are tracked in their own right, so a mid-stay form never holds up arrival day.
The step types
- Details — confirm the guest's contact details; list extra guests or crew.
- Forms — your own questions, built field by field — see ask guests your own questions.
- Documents — house rules or a hire agreement, signed on the phone — see house rules and signed terms.
- ID and registration — ID or licence capture and digital registration cards — see collect ID securely.
- Money — pay the balance, hold a bond, offer a bond-or-waiver choice, add a tourist tax — see take the balance and bond during check-in.
- Appointments — the guest books a briefing or handover time — see briefings, inductions and appointment slots.
- Add-ons — offers the guest can add during check-in, priced straight into their balance.
- Access — door codes and arrival details, revealed on your conditions — see door codes that appear only when they should.
- Videos — a required-watch briefing or safety video, with an optional comprehension quiz that Accommador marks for you.
- Feedback — structured end-of-stay questions — see feedback, ratings and condition photos.
Required, optional, reviewed
Required steps must be finished before check-in counts as complete; optional ones can be skipped. A step can also require your review: the guest's submission waits until you approve it, and you can reject it with a reason so the guest can fix and resubmit.
Gates: steps that wait
Each step can carry a gate, and a locked step shows the guest why it's locked and when it opens:
- Time — open a set number of hours before arrival; during-stay steps can open a set time after arrival, and check-out steps a set time before departure.
- Earlier steps — a step you name must be finished before this one unlocks (no signing until details are confirmed, for example).
- Money — a step can stay locked until the balance is paid or the bond is held.
Editing safely
Reorder steps with the up and down arrows, add one from the catalogue (new steps start optional), or remove one, then save. Saving publishes a new version of the flow — but a guest already partway through keeps the flow they started with, so an edit never pulls the rug out mid-journey. Editing is limited to administrators; everyone else sees the flow read-only.
Before anything is live, use Preview guest view to see the flow exactly as a guest will — including how it looks five days out, during the stay, and on departure day.
