Briefings, inductions and appointment slots
Arriving guests book their own briefing or handover time from capacity-managed slots during check-in, with a day roster for staff and alerts when a day overloads.
Some properties can't hand over with a code alone. A houseboat needs a safety briefing; some rentals need keys handed over in person. Appointment steps let each arriving guest book their own slot during check-in — against the capacity you actually have on the day — instead of everyone turning up at once.
Set up an appointment type
On Guests → Appointments, create an appointment type — "Boat briefing", "Key handover" — with a duration and the meeting-place wording guests will see. Then set its capacity plan: which slot times run, and how many bookings each slot takes. Capacity adapts to demand — a quiet day might run three afternoon slots, a big arrival day more — and you can set a separate plan for turnaround days, when boats or units coming back the same morning stretch your team.
Guests pick a time
Add the appointment step to your flow (see edit your check-in flow) and each guest picks a time on their arrival day from the slots that have space. Two guests can never grab the last spot at once, and a guest can rebook themselves to a different slot up until a cut-off you set. It's one appointment per booking, not per person — a whole crew shares one briefing.
When a day overloads
If arrivals for a day climb past thresholds you set, Accommador raises a task to warn you — once per threshold, never a flood — so you can open more slots, roster more staff, or ring ahead. See tasks overview for how tasks reach your team.
The day's roster
The roster on Guests → Appointments shows the day slot by slot: who's booked in, which rooms or boats they have, and which staff member is taking each slot. From the same screen you can assign staff to slots, open or close a slot, or adjust its capacity.
Kept honest automatically
If a booking is cancelled or its arrival date moves, its appointment is freed automatically and the guest is prompted to pick a new time next time they open their check-in page. And a slot someone is already booked into is never deleted or shrunk out from under them, even when the day's plan changes.
Troubleshooting
A guest needs to change their time after the cut-off
Cancel their appointment from the roster. That frees their check-in step so they can book a fresh slot themselves — or you can simply agree a time with them directly.
Do appointments work for part of my properties only?
Yes. Appointment types are set up per property, and a flow without an appointment step never asks guests to book one.
