When guests get their check-in link

The automatic schedule that sends check-in links and reminders, the master switch, and the two things to set up first so the messages actually go out.

Once the journey is on, Accommador handles the sending. Guests get their check-in link and reminders by text and email on a schedule you control — and no message is ever sent twice.

The schedule

  • Invitation — the check-in link goes out a few days before arrival (three by default; you can set anywhere from one to seven). A guest who has already started their check-in isn't sent one.
  • Reminder — a nudge in the final stretch before arrival (24 hours out by default) for guests who haven't finished.
  • Arrival day — a morning message on the day they arrive.
  • Check-out reminders — the evening before departure and again on the morning of departure. Their wording follows your self check-out policy, so guests are never invited to check themselves out when you haven't allowed it.
  • After departure — a feedback ask the day after check-out, skipped automatically if the guest already left feedback.
  • Booking confirmation — when a guest books and pays on your own booking page, their check-in link goes out within moments of the payment landing.

Each message can be switched on or off individually and has its own send hour, all managed from Guests → Guest Journey. Send times follow your property's time zone.

The master switch

Nothing goes to any guest until you flip the master switch on Guests → Guest Journey. With the switch off you can build your flow, edit documents and preview the guest view in peace — even importing hundreds of bookings sends nothing. Turning the switch off later stops the messages but never locks a guest out mid-journey: a link that's already out keeps working.

Set up sending first

Before you switch the journey on, make sure your texting number and your sending email address are set up. Otherwise the journey is on but silent — the messages have no way to leave, and nobody ever gets the link.

Texts that can't be delivered fall back to email

By default messages try text first, then email. Two safeguards keep them arriving: a guest whose mobile number is from another country is emailed straight away, since your texts can't reliably reach them; and a text that reports a delivery failure is automatically re-sent by email. The record on each send shows which channel actually carried it.

Troubleshooting

My guest says they never got the link

Check the master switch is on, and check the booking actually has a mobile number or an email address. A guest with an overseas mobile and no email on the booking can't receive the link — reach them through the booking site's messaging instead (see reply to booking-site guests from your inbox). You can also open the booking and copy the guest link to send it yourself.

Will a guest ever be messaged twice?

No. Every send is recorded before it happens, so the same message can never go out twice for the same booking — even across busy periods.
