The booking's History tab

Every change to a booking is recorded: who, when, and exactly what changed, field by field — plus every payment, refund and status change.

"Who moved this booking?" "When did the price change?" "Did we actually refund that deposit?" The History tab on every booking's page answers questions like these without anyone having to remember. It is a permanent, chronological record of the booking's whole life — entries are only ever added, never edited or removed.

What gets recorded

  • Creation — when the booking was made, with each room and guest added to it.
  • Every edit, field by field — an update doesn't just say "booking updated"; it says exactly what changed, like Check-in date changed from 2026-06-01 to 2026-06-03, with each changed field listed as a from-and-to line.
  • Status changes — confirmed, checked in, checked out, no-show, and cancellations with their reason. When a status is undone, the entry shows what was reversed and the reason given.
  • Rooms — when the booking was placed in a room, including whether that was done automatically.
  • Extras — each extra added or removed, with any notes recorded on it shown on its line.
  • Money — deposits recorded, payments received, refunds, and voided payments. A payment that has synced to your accounts carries a View in Xero link straight to it. A cancellation charge shows the amount raised.

Who did it

Each entry names the team member who made the change. Things that happened without a person clicking — a booking arriving from a booking site, a card payment settling through your gateway — are attributed to System, so you can always tell a colleague's action from an automatic one.

Reading the timeline

Entries run newest-first. Each shows a timestamp, a short label for the kind of event, a plain-English description, and the person (or System) behind it. Field changes list beneath the description, so a quick scroll reconstructs the booking's story in seconds — handy for a guest dispute, a staff question, or just working out how a booking got into its current state.

Troubleshooting

Can history entries be edited or deleted?

No. The record is append-only by design — that is what makes it trustworthy when it matters. If an entry reflects a mistake, the fix is a new action (an amendment, a refund, an undo), which is itself recorded.
