Bookings & Calendar
The calendar, taking and changing bookings, arrivals and departures.
The calendar
- The bookings calendar at a glanceRooms down the side, days across the top, every booking colour-coded by status. How to read the calendar, switch views, and get back to where you were.
- Create a booking by dragging on the calendarDrag across free nights on a room's row and the booking form opens with the dates, room type and room already filled in. Add the guest, and you're done.
- Move a booking to another room or other datesDrag a booking to a different room, a different room type, or different dates. If the nights aren't free the calendar refuses and nothing changes.
- How rooms are assigned automaticallySwitch on automatic assignment and every new booking lands in the first free room of its type, in an order you control. Drag to override any time.
Managing bookings
- Take a phone or walk-in bookingEnter a phone or walk-in booking in one pass: guest, dates, room and price. It's on the calendar instantly and the nights come off sale everywhere.
- Everything on a booking's pageOne page holds the whole booking: the stay, the guest, the money, extras and history — plus the actions for check-in, check-out and cancellation.
- Booking references explainedEvery booking gets a short reference like 1001 or BNE-1001 — the number you quote on the phone and the one that appears on invoices and statements.
- Change a booking's dates, rooms or priceGuests change their plans. Amend the dates, room or price on the existing booking — availability updates everywhere and every change is recorded.
- The booking's History tabEvery change to a booking is recorded: who, when, and exactly what changed, field by field — plus every payment, refund and status change.
- Guests and your guest databaseEvery booking's guest is saved to your guest database automatically, matched by email and phone so returning guests don't turn into duplicates.
- Send a guest their booking statementA tidy PDF of the stay, its charges, payments and balance — downloaded or emailed to the guest in a few clicks, at any stage of the booking.
Arrivals & departures
- Check a guest inMark the guest as arrived in two clicks. The arrival is recorded with a time, the calendar updates, and check-out becomes available.
- Check-out: settling the balanceCheck-out finalises the stay's money. The balance must be settled first, a few checks run, and with Xero connected the invoice raises itself.
- Record a no-showThe guest never arrived. Mark the no-show and the money you keep becomes a proper cancellation charge, invoiced in your accounts automatically.
- Undo a check-in, check-out or no-showClicked the wrong booking, or the guest turned up after all? Undo the status safely — with clear guided steps when an invoice is involved.
