Send a guest their booking statement

A tidy PDF of the stay, its charges, payments and balance — downloaded or emailed to the guest in a few clicks, at any stage of the booking.

A guest asks "what have I paid so far?" or "can you send me a receipt?". From the booking's page you can hand them a tidy PDF in a few clicks — either Accommador's own booking statement, or a copy of the booking's Xero invoice when one exists.

What the statement shows

The statement PDF is headed with your property's name and lays out the whole financial picture of the stay:

  • The guest, the booking reference, the room type, the dates, the number of nights, and the booking's status.
  • Every charge — accommodation and extras, itemised.
  • Every payment received, with refunds shown as negatives.
  • A closing balance, labelled Balance owing or Credit due.

The figures are the booking's own figures — the statement always agrees with the balance on the booking page, because both are reading the same money. A card hold that hasn't been captured (a security bond authorisation, say) is not money received, so it never appears as a payment.

Sending or downloading it

  1. Open the booking and click Send statement.
  2. Choose the document: the system statement, or the booking's Xero invoice. The invoice option is only available once the booking actually has one.
  3. Download saves the PDF for you — to print, or attach to your own email.
  4. Send to guest emails it to the guest as an attachment, from your property.

Works at any stage

The action is available whatever the booking's status. Send a statement as a deposit receipt before arrival, a running account mid-stay, a final settlement after check-out, or a record of what was retained after a cancellation.

Troubleshooting

The Xero invoice option is greyed out

The booking doesn't have a Xero invoice yet. Invoices are typically raised at check-out when Xero is connected — see how bookings reach Xero. Until then, the system statement covers the same ground and needs no Xero connection at all.

Where does the email actually go?

To the guest on the booking — the send is tied to the guest's record, and the confirmation tells you the address it went to. If the guest wants it at a different address, download the PDF and forward it yourself.
