Everything on a booking's page

Click any booking — on the calendar or in a list — and you land on its page. Everything about that stay lives here: the guest, the rooms and dates, every dollar in and out, the extras, and a full history of who changed what. If a guest rings with a question, this is the one page you need open.

The top of the page

The header shows the booking reference and the booking's current status. Next to it sit the actions that make sense for that status — Check In, No Show and Cancel on a confirmed booking, Check Out once the guest is in, and an undo option when a status was clicked by mistake. Send statement is always there, whatever the status — see sending a guest their statement.

The Details tab

• Guest information — name and contact details as they came in with the booking. Every guest is also saved to your guest database automatically.
• The stay — each room on the booking with its dates, occupancy and price.
• Payment transactions — record a payment, send a payment link, take or refund money, and see every transaction on the booking. The full detail is in the payments tab.
• Online check-in — how far the guest has got with their pre-arrival check-in, when you use the guest journey.

The Extras tab

Everything added on top of the room — breakfasts, late check-outs, hampers — with its own notes and pricing. See adding extras to a booking.

The History tab

An append-only record of the booking's whole life: every edit field by field, every status change, every payment event, with who did it and when. See the History tab.

The money at a glance

Down the side, the Payment Summary shows the total charges, what has been paid, and the balance owing — with each payment listed, and a link to the booking's Xero invoice once one exists. Beneath it, the Pricing Breakdown itemises how the total is built: accommodation plus extras, less any commission a booking site kept. The two always agree with each other and with what a guest's statement would show — they are all reading the same figures.
