Check-out: settling the balance
Check-out finalises the stay's money. The balance must be settled first, a few checks run, and with Xero connected the invoice raises itself.
Check-out is the moment a stay's money becomes final, so Accommador makes sure everything adds up before it happens — not after, when the guest is halfway down the driveway. A guest can never be checked out still owing money by accident.
Settle the balance first
The Check Out button on a checked-in booking stays unavailable while there is a balance owing, and tells you so. Collect what's owed from the booking's payments area — charge the card, send a payment link, or record a cash or bank payment — and the moment the balance reaches zero, check-out unlocks.
The checks before it commits
When you click Check Out, the confirmation runs a short set of checks while you watch. If anything needs attention, the dialog names it plainly and won't proceed until it is resolved:
- An earlier invoice is in the way — the booking already has a live invoice in your accounts that the check-out would clash with; it needs dealing with first.
- You hold more of the guest's money than the stay costs — for example a deposit larger than the final bill. Refund the difference and check out cleanly.
- The booking's price figures don't add up — rare, and the message tells you exactly how to put it right.
No half-finished check-out is possible: either everything passes and the whole thing goes through, or nothing changes.
What check-out does
On confirmation the booking becomes checked out, with the time recorded in its history. When Xero is connected, the stay's invoice is raised in Xero automatically and the payments you hold are applied to it — the books settle themselves, with nothing to type in twice. See how bookings reach Xero.
Leaving early
A guest cutting their stay short is still a check-out, not a cancellation — once someone has arrived, checking them out (early if need be) is the action that closes the stay properly. Adjust the price first if you have agreed to charge fewer nights — see changing a booking's price.
Troubleshooting
I checked out the wrong booking
Use Undo check-out. Because a check-out can raise a real invoice, the undo walks you through tidying that up in Xero first — see undoing a status change.
